Every Room Is a Broadcast Room Now: Why AVL Became Building Infrastructure

Audio, video, and lighting stopped being event equipment and became building infrastructure. Here's why nearly every space now has an AVL requirement and what happens to the rooms that ignore it.


Make a list of the rooms in your building where someone will be seen or heard by a person who isn't physically present. Ten years ago that list was short. The boardroom. Maybe the training room. The auditorium, if you had one.


Now: the boardroom, every huddle room, the training room, the classroom, the sanctuary, the council chambers, the lobby, the break room where the CEO does the quarterly video, the plant floor where a technician walks a remote engineer through a failure, the exam room, the courtroom, the practice facility. Somewhere in there is also a conference room with a laptop propped on a stack of binders because it's the only way to get the camera high enough.


That's the shift. Audio, video, and lighting stopped being event equipment that gets rolled in and stopped being a line item that only certain buildings need. AVL building infrastructure now belongs in the same category as HVAC, power, and the network: systems that everyone touches, nobody thinks about until they fail, and that are painfully expensive to add after the building is finished.



The three ways this goes wrong


Organizations rarely decide to skip AVL. They just defer it, and it resolves itself in one of three unpleasant directions.


The consumer gear stopgap

Somebody buys a $200 USB conferencing puck and a TV from a big box store, and for a small room, honestly, that sometimes works. Then it gets deployed to a 24-person boardroom, where the microphone can't reach past the third seat and everyone at the far end of the table becomes background noise. Nobody says the room is broken. They just quietly stop booking it.


The retrofit tax

The room gets built without conduit, without blocking behind the display wall, without a floor box, without a dedicated circuit, and without anyone asking IT about switch ports. Adding AVL later means surface raceway, cut-and-patch through finished walls, and a change order that costs multiples of what the rough-in would have. The technology arrives eventually. It just arrives ugly and over budget.


The room nobody uses

This is the expensive one, because the system actually works. It was designed for a use case that didn't survive contact with reality, or it was never commissioned properly, or nobody was trained. So there's a beautiful room with a $60,000 system in it, and the staff walks past it to use the one down the hall with a TV and an HDMI cable, because that one they understand.



Audio is the thing everyone underrates


If you're going to care about one element, care about audio.


People tolerate mediocre video. A soft image, a slightly wide framing, a webcam that's a couple years old — the meeting still functions. Bad audio ends it. If the far end has to ask "sorry, can you repeat that" three times, the meeting is over as a working meeting even though it continues on the calendar.


Audio quality is set by the room long before it's set by the equipment. Reverberation (the time it takes sound to decay in a space) is a function of the room's volume and surfaces, not its microphones. Hard floors, drywall, and a wall of glass produce a space where speech smears into itself. General practice targets reverberation under about half a second for spaces built around speech, and classroom acoustics standards are tighter still.


No digital processing fixes that. Processing can help a marginal room. It cannot rescue a bad one. Which means acoustic treatment is an architectural conversation that happens during design, not an accessory you order after the first bad call.



Lighting is the letter everyone drops


The L in AVL gets treated as decorative. It isn't, the moment a camera is involved.


Cameras need light. Under-lit rooms force the camera to raise gain, which produces a noisy, muddy image no amount of resolution corrects. Overhead-only lighting puts shadows under everyone's eyes. A window behind the presenter turns them into a silhouette. These are not camera problems and no camera upgrade solves them.


Meanwhile the color temperature of the fixtures determines whether skin tones look right or slightly ill, and dimmable, controllable lighting is what makes one room work for a presentation, a video call, and a reception without three different rooms.


The good news is that lighting is cheap relative to everything else in the system. The bad news is that it's almost never in the AV budget, because it lives on the electrical drawings and nobody connects the two.



What "everyone" actually means


The specifics change by environment. The requirement doesn't.


  • Corporate — every meeting is hybrid now, and the quality of the room determines whether remote participants are actually in the meeting or just watching it.

  • K-12 and higher ed — recorded lectures, absent students, distance programs, and a body of research connecting classroom audio quality to comprehension.

  • Worship — services reach as many people online as in the room, and for many attendees the stream is the first impression.

  • Government — open meeting requirements, public records, and constituents who expect to watch from home.

  • Industrial and healthcare — remote expertise, safety communication, and training that can't wait for someone to fly in.

  • Sports and entertainment — the venue competes with a very comfortable couch and a very good television.


Different buildings, same underlying fact: the audience is no longer confined to the people in the room.



Three questions for any space


You don't need a formal assessment to know where you stand. For any room in your building:


Will anyone in this room ever be seen or heard by someone who isn't here?

If yes, it has an AVL requirement, whether or not it has AVL


Can a person who has never used this room start a meeting in under sixty seconds?

If not, the technology's real utilization is lower than you think.


If we needed to add technology here next year, what would it take?

If the honest answer involves cutting into finished walls, the cost of waiting is already accruing.


None of that requires buying anything. It just requires deciding whether these rooms are infrastructure or afterthoughts, because the building is going to answer that question either way.
